Managing your Event Registrations (Ploud6)

INTRODUCTION

This article assumes you have created an event, enabled registration for that event and are receiving registrations.


The Ploud Event Registration allows you to email your list of registrants and it will also allow you to download a comma-separated value (csv) file that you can upload in any spreadsheet program to manage your registrations. 


Viewing Registration Statistics

Ploud summarizes your Event Registrations in one place as a report letting you know how many people have registered for an event and how many have registered for certain days (for recurring events).


  1. As a content manager, navigate to the particular event you want to manage.
  2. Click on the Registration from the options menu and you will see the Registration summary at the top of the page. In the example below, you can see that there are 8 people registered with 21 Total Attendees for the repeating Event (over all of its days). These numbers will increase automatically as people register for your events. You can check back anytime and you will see the latest number of registrants for your event.


Limiting Registrations and Waitlisted Registrants

The Ploud Event Registration now supports waitlisting. You can set the limit of attendees to an event and when that event fills up, any new registrations will be put on a waitlist. If a person is on your waitlist, and a previously registered person cancels their registration, the next person on the waitlist will be registered for the event and be sent an email letting them know. NOTE: if the next person on the waitlist has more attendees (i.e. guests) that are available seats for the event, they will be skipped and until a waitlisted person and their total guests is equal to the number of available seats for the event.


For Example:

  1. Your event has 10 available seats.
  2. Your event fills up with registrations.
  3. Two more people sign up for the event.
  4. Because there are no more available seats, they will be put on the waitlist.
  5. The first waitlisted person has 5 attendees coming and the second waitlisted person has 2 attendees.
  6. One of your registrants cancels their registration and they had 2 attendees going. Therefore you now have 8 total attendees (there are 2 slots left).
  7. The waitlisted person with 2 attendees will be automatically registered for the event and your event will be full once more.
  8. They will be emailed that they are now registered for the event.


Limiting Registrations

It is easy to limit the number of people that can register for an event. Once you create a limit, you can choose to enable the waitlist feature for your registrations.


  1. As a content manager, navigate to the particular event you want to manage.
  2. Click on the Registration tab.
  3. On the Event registration settings page, click on Limit the number of registrants for the event and set the Maximum number of registrants to whatever limit you wish to set. NOTE: that limit is a per/day limit meaning that if your event is set up to have recurrence, and you set your limit to 10, then that means the system will limit each event date to 10 registrants.
  4. OPTIONAL: click on Create a waitlist to enable the waitlisting feature for your event.
  5. Click Apply at the bottom of the event.




Emailing your Registrants

You can send emails to everyone that has registered for your event to update them on event details and changes.


  1. As a content manager, navigate to the particular event you want to manage.
  2. Click on the Registration tab and then the Email Registrants sub-tab.
  3. Next file out the form fields with the subject and message you wish to send and click Send email.
  4. Your Email will be sent to all of your event registrants.



Downloading a list of registrants

  1. Within the Registration tab, scroll to the bottom of the form and click the Export CSV button.
  2. Your browser should begin to download a Comma Separated Value (csv) file. You may have to authorize your machine to safely download the file.
  3. Once the file has been downloaded to your machine, you should be able to go into your Downloads folder (or wherever you saved the file) and double-click the file to open it in your default spreadsheet program.
